The drivers hours rules are often an area whereby a driver thinks they know all the rules, however often attend a driver CPC course and we have some questions lined up to show that no one knows everything, and we can all keep learning.

The best way we feel to ensure that drivers have the knowledge needed and fresh in their minds, is to hold a driver CPC course on this topic at least every 5 years as part of the cycle.
It is also important to have a policy and procedures in place that are clear about what you expect of the drivers, like using their driver card the moment they take over the vehicle, and they are using the equipment correctly and that the appropriate entries are made for work, POA and rest or break.
It is an operators responsibility to ensure that their drivers understand the tachograph requirements and how to use the equipment properly to provide accurate records, as well as ensuring that work scheduled can comply with the drivers hours and tachograph rules.
Check your drivers are managing their drivers card correctly, and always have it available by doing regular documented checks and explaining the importance to drivers about why we do what we do.
Download and analyse the tachograph data regularly. We advise weekly so that any issues can be identified promptly and dealt with while still fresh in the drivers mind.
Tachograph calibration needs to be every 2 years for digital tachograph units including smart tachograph.
Each vehicle need to have spare tachograph rolls for print outs and even though the required number is 2, always give the extra one to allow for eventualities, like being stopped by the DVSA and then doing a large print out.
Lastly, remember to keep all your records in vehicles for inspection if required.
